Position Overview:

Seeking a dedicated and proactive Airbnb Account Manager & Executive Assistant to support our growing portfolio of rental properties and provide general administrative assistance to the company president. This fully remote role requires excellent English proficiency, flexibility in scheduling, and the ability to manage guest communications, property management tasks, and administrative duties efficiently. Initially overseeing one Airbnb listing, the role offers significant potential for growth.

Work Hours & Availability:

  • Mandatory work hours (Accra Time): Monday to Friday, 8 PM – 12 AM.

  • Standby availability required:

    • Monday to Friday, 12 AM – 4 AM (responsive to guest inquiries).

    • Saturday and Sunday, 2 PM – 4 AM (responsive to guest inquiries).

Responsibilities:

Airbnb Management:

  • Respond promptly and professionally to guest inquiries and communications.

  • Maintain accurate and engaging Airbnb listings (photos, descriptions, pricing adjustments).

  • Update and manage automated email communications (check-in/check-out instructions).

  • Coordinate maintenance, cleaning services, and vendor dispatching.

  • Manage guest ratings and reviews.

  • Ensure property inventory is maintained; order necessary supplies (soap, detergent, shampoo, paper towels, toilet paper, trash bags).

  • Process refunds or credits efficiently.

  • Coordinate closely with onsite teams to ensure units remain in optimal condition.

Property Management:

  • Respond to phone and email inquiries regarding vacancies.

  • Create and manage maintenance work orders based on tenant requests.

  • Post vacancies on Appfolio and third-party platforms (Craigslist, Zillow, Apartments.com).

  • Request, review, and post unit photos for marketing purposes.

Bookkeeping Support:

  • Assist with manual entry of Airbnb-related bills and receipts.

  • Provide necessary support to the accountant as needed.

Executive Assistant & Administrative Duties:

  • Provide general administrative support to the company president.

  • Schedule meetings, manage calendars, and coordinate travel arrangements.

  • Prepare documents, presentations, and reports.

  • Manage email correspondence and communication.

  • Other administrative duties as assigned.

Qualifications:

  • High proficiency in English (written and spoken).

  • Exceptional customer service and communication skills.

  • Ability to manage flexible working hours and respond promptly during designated standby periods.

  • Experience with Airbnb or similar property management platforms is highly desirable.

  • Familiarity with bookkeeping practices and property management software (e.g., Appfolio) is a plus.

  • Reliable internet connection and a suitable remote working environment.
